Ondatrace

Turbocharge your PMO with insights from AI

Know where every project really stands.

A promise to a customer sits in someone's email. A ticket slips two sprints. A new date gets agreed in a meeting and never written down. Ondatrace reads across all of it and keeps one shared memory for your whole PMO. Each project manager and the PMO leader sees what needs their attention.

Ondatrace reads your tools and meetings and judges them the way an experienced project manager would.

See it with a sample company

Play the VP of Delivery at a made-up healthcare software company for one busy week. It takes about 10 minutes and there's nothing to sign up for. You'll find things like:

A customer promise engineering can't keep

Sales promised a date for a feature. The work behind it slipped two sprints, and the project plan still says it's on track.

A spending freeze the team never heard about

The CFO paused new vendor contracts in a leadership meeting. Another team is about to sign one.

One engineer needed by three teams during her week off

Three separate plans depend on the same person during the week she's on leave. None of them knows about the others.

One memory for the whole PMO

It handles routine status reporting. The real value is that it remembers what happens across all your projects, so nothing depends on one person's notes.

Status reports, drafted

Each project manager gets a weekly status draft. The PMO leader gets a summary across the portfolio.

Sees across projects

A slip in one project shows up where it lands in another, even when different people run them.

Shows when sources disagree

When the plan says on track and the tickets say otherwise, it shows you both.

Follows decisions through

A risk stays open until something shows it's fixed. Later, it checks whether a decision worked.

Judges like an experienced PM

Project health comes from fixed rules built with practicing project managers. The AI explains the result but can't change it.

Includes the people side

Each suggested next step also says who needs to hear about the change and who may need help with it.

Every finding shows its sources, and nothing with real consequences happens until you approve it.

What leaders see

Leaders get the picture they need without reading anyone's inbox.

Takeaways only

A leader sees what changed, which project it affects and how serious it is. They never see the original email or meeting transcript.

Private topics stay out

Health, pay, performance reviews and personal life are kept out of what leaders see.

Access follows your tools

If someone can't open a message in the original tool, they won't see findings based on it.

How it works

1. Connect

Sign in to the tools you already have

Connect each tool with a normal sign-in. Record your project meetings too, because many decisions and new dates are only ever said out loud.

2. Connect the dots

It matches up the same work

It recognizes the same project in different tools and finds projects nobody set up. You confirm the links.

3. Decide

Each person sees what needs them

Every item says why it matters and suggests what to do next.

Works with the tools you already use: Jira, Kantata, Salesforce, Smartsheet, Slack, Microsoft Teams, Outlook, Google and Microsoft calendars, Zoom, Webex and Google Meet.

How our project management agent works

The agent does the reading and the writing. Fixed rules make the calls that have to come out the same every time, and a person approves anything with real consequences.

You and your team, in Ondatrace

Your Today view shows what needs your attention and what to do next. For example, Ondatrace:

  • Flags a customer promise at risk: sales committed to a date the slipped work can't meet.
  • Spots a decision that didn't spread: a spending freeze another team hasn't heard about.
  • Catches an overbooked person: one engineer is needed by three teams during her week off.

Your sources

Reads

Turns messy messages into facts

It reads messages, tickets and meeting transcripts and pulls out the promises and decisions in them. Each fact links back to where it came from.

Judges

Rules decide, the agent explains

Project health and what needs attention come from fixed rules built with practicing project managers. The agent writes the explanation and the next step, but it can't change the result.

Acts

You approve anything that matters

It saves evidence on its own, and it can make small task updates if you allow it. Anything bigger waits for a person, such as moving a committed milestone or sending a message.

Runs on its own

Works between your meetings

It checks your tools every 15 to 30 minutes and picks up Slack messages within about a minute. It only reruns the analysis where something changed, so quiet projects stay quiet.

Stays in its lane

The app enforces permissions

The application decides what each person can see, and the agent can't change that. If a finding comes from someone's private email, people who can't read that email don't see the finding.

Ondatrace runs on Claude, from Anthropic. It treats the text of emails and messages as information to weigh. It never follows instructions written in them.

Why I built this

After years leading programs, I've found the hardest project problems rarely live in the project plan. They're spread across conversations and customer commitments. Ondatrace is my bet that AI can pull that picture together without adding another system to keep up to date. It's now in a private pilot with a few PMOs, and I'd love your feedback at ondatrace@ondatrace.com.
